AI Transparency Statement

LeadForge uses artificial intelligence to help real estate professionals manage their business more efficiently. This page explains how AI is used within the platform and how it may affect individuals whose information is processed.
1. AI Voice Calling
LeadForge can make automated phone calls using an AI voice assistant on behalf of real estate agents. These calls are used for follow-ups, appointment booking, and lead qualification. At the start of every call, the system clearly identifies itself as an AI and informs the recipient that the call may be recorded. Recipients can opt out at any time during the call.
2. Lead Scoring
LeadForge assigns a numerical score to leads based on their engagement level, budget, and activity. This score helps agents prioritise their follow-ups. The score is based on observable actions (property views, email opens, enquiries) and does not use demographic profiling, race, gender, or other protected characteristics.
3. ForgeAI Copilot
The AI copilot analyses CRM data to suggest priority calls, identify at-risk deals, and draft follow-up messages. All suggestions are presented to the agent for review — the AI does not send messages or make decisions autonomously without agent involvement (except for AI voice calls, which are explicitly initiated by the agent).
4.Call Transcription & Summarisation
Phone calls made through LeadForge may be recorded, transcribed, and summarised using AI. Transcriptions are stored securely and used to update CRM records. Call recordings are subject to Australian privacy laws regarding consent and storage.
5.Proposals, Offers, Auctions & E-Signing
The following features do not use artificial intelligence or automated decision-making:
- Listing Proposals & CMA: Valuation estimates, price guides, and comparable sales data are entered manually by agents. No AI is used to generate or suggest valuations.
- Online Offers: Offer data is submitted by buyers and displayed as-is. No AI is used to score, rank, or recommend offers.
- Auctions: Bidding is entirely user-driven. No AI assists with bid amounts, reserve price recommendations, or auction outcomes. Timed auctions start and end automatically based on scheduled times — this is clock-based automation, not AI.
- E-Signing: Signature capture, field completion, and audit trail recording are purely mechanical processes. No AI is used to analyse documents, verify signatures, or make decisions about signing requests.
If AI capabilities are added to any of these features in the future, this page will be updated before those capabilities are enabled, and you will be notified.
6. Your Rights
Under the Australian Privacy Act 1988 (as amended), you have the right to:
- Know when AI is being used to process your personal information
- Request access to any personal data held about you (APP 12)
- Request correction of inaccurate data (APP 13)
- Opt out of automated communications at any time
- Know whether automated decision-making has been used and how (effective December 2026)
7. Data Processing
AI processing is performed using third-party large language model providers. Personal data may be transmitted to servers located in the United States for the purpose of AI processing. This is disclosed in our Privacy Policy in accordance with APP 8 (cross-border disclosure). All data in transit is encrypted using TLS. API credentials are encrypted at rest using AES-256-GCM.
